AI as a project manager: Expert to expert

Dear Daniela, thank you for giving us an insight into your everyday work with AI. How has artificial intelligence changed your work?

My work efficiency has increased significantly because I was able to automate some work steps. As a result, I have gained time for activities that are significantly higher on the list of priorities. I can focus more on management and decision making.

In addition, with the help of AI, you can acquire helpful knowledge in a short period of time, which previously took a lot of time.

 

You said you were able to hand over a few tasks. What are they exactly?

In my role as project manager, there are numerous applications for AI that make my everyday work more efficient. Especially in project meetings, you can have AI create tasks, such as generating meeting notes, minutes and status updates through transcription. These tasks are time-consuming and prevent you from doing more strategically important tasks.

I also use artificial intelligence to automatically generate drafts for reports, presentations or emails. This allows me to continue efficiently and incorporate my ideas in a targeted manner. It is convenient to be able to save yourself the initial work.

Something that I also find extremely practical is helping with the translation or linguistic optimization of content for international meetings. With the help of AI, you are much faster.

 

Which AI tools do you use for this?

In my day-to-day work, I use various AI tools: The Microsoft Copilot was integrated into tools such as Word, Excel & Teams for a proof of concept (test setup). This is how I use Copilot to automatically generate reports. As we hold meetings in Microsoft Teams, Copilot uses transcription to automatically generate minutes, summarize important discussion points, and suggest tasks with stakeholders. Copilot is also helpful for presentations: Based on project status data, the tool helps you create content for PowerPoint.

You have to rework both, but the time required is much less.  

I enjoy working with CoPilot Teams Chat for rewording, summaries, transcribing, and information identification, and MidJourney is ideal for generating images.

I use ChatGPT in my private environment when I need a summary of general topics and also for birthday poems.

 

Would you like to introduce us to your most successful AI use case from everyday work?

Yes, I'd love to. The biggest win is clearly the automation of meeting minutes and status updates. It simply makes everyday life so much easier. And the time savings that I can spend elsewhere on my projects cannot be ignored.

 

We've now got a good insight into how you use AI. Have you also faced any challenges?

As with all unknown topics, there were of course challenges. Ostensibly, the issue of data protection is particularly important to me. Using personal data involves risks with regard to GDPR, EU-AI Act and other privacy policies. However, among other things, the basic courses in mytalents.ai made me feel much more secure.

It is also essential to keep a close eye on hallucinations and prompt engineering. It is important to always carefully check the generated content — especially in a corporate environment.

The result depends, among other things, on suitable prompts. It takes a lot of effort and theory — and practical experience — to learn how to do things right. A general prompt may provide generic or irrelevant answers. Requirements that are too strict can limit the creativity of AI. You should always take that into account.

 

You are already experienced in using AI. What tips would you give to AI beginners?

Form learning circles with AI experts and with other beginners. Through the exchange, you get to know new use cases and get one or the other helpful tip. Plus, you stay on the ball. Continuing education in general is very important.

You should be careful with sensitive data and only use AI tools in the company that have been tested and approved by the company with regard to data protection.

All Copilot and ChatGPT courses. In particular, the use cases clearly show how to use AI specifically in everyday working life.

The basic courses are helpful to get an understanding of how AI works. As a project manager for our AI project, it is important to be able to understand and apply AI better.

The basic courses cover the features and benefits of modern AI tools. This gave me a broad understanding of AI technologies and was able to expand my knowledge of prompt writing and copywriting with AI.

 

Are there any other courses that you would like to take or would you like to see specific courses on the mytalents.ai platform?

The more in-depth Masterclass courses are still waiting for me. I'll sit down on them soon. And I would of course be happy to receive new project management courses on AI.
